Architectural Standards - Front Doors

Through the Architectural Standards, the HOA Board is attempting to create a uniform look throughout the community.  Homeowners must continue to submit an Architectural Request Form for any exterior change visible to neighbors and the public.



Description: All front doors must be painted in our trim color ONLY.

September 2013 HOA Meeting

There will be no HOA meeting in August.

The next HOA meeting will be held on Monday September 23rd, 2013 at 6pm at the clubhouse. Residents are invited to attend.

July 2013 Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
July 22, 2013


The board meeting was called to order at 6:11 PM.  Board members attending: Suzanne Muusers, Lance Donatello, and John Frigo.   Also attending: Steve Cheff of Heywood Realty.

The minutes from the last board meeting were approved as presented.

The financial statement for June was reviewed and approved.  


Old Business:
The board discussed the trimming of the trees.  The palm trees still need to be trimmed and the board would like to get the pine tree south of the 6350 mailboxes treated as it looks stressed.

The landscapers need to take care of weeds cropping up with the recent rains.

Lance provided the final part of the architectural guidelines for front doors.  This was approved and will be posted on the blog.

New Business:
The board discussed the issue clubhouse cleaning.  Steve to get a bid from Veryl Law for this service.  Items to include in the proposal: clean pool deck, check to make sure furniture is straight and umbrellas are lowered.

The board would like to amend their rules regarding music at the pool.  Steve to send examples of this rule from other communities.

Steve to work on getting some bids for concrete driveway replacement/repairs.

The Board discussed delinquencies and violations.  Management to take approved measures to correct problems.

June 2013 Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
June 24, 2013


The board meeting was called to order at 6:03 PM.  Board members attending: Suzanne Muusers, Brian Weimer, Lance Donatello, and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Scott Sowl of Kleanrite Landscaping.

The minutes from the last board meeting were approved as presented.

The financial statement for May was reviewed and approved.  


Old Business:
The board discussed the trimming of the trees.  There is additional clean up required and the palm trees have yet to be completed.

The doors to the bathrooms have been replaced and new hardware installed.  Some adjustments need to be made to the closures so that they close completely.

Lance still needs to finish up the final part of the architectural guidelines so they can be posted on the blog.

The board would like all missing or dead plants replaced in the fall. 

The second pool gate sign was not done yet.  It will be installed on the inside of the gate to remind pool users to clean up after themselves and put chairs away and lower umbrellas.

May 2013 Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
May 30, 2013


The board meeting was called to order at 5:38 PM.  Board members attending: Suzanne Muusers, Brian Weimer, Lance Donatello, and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Scott Sowl of Kleanrite Landscaping.

The board walked the community inspecting driveways with Steve to assess which needed to be repaired/replaced first.  Steve has notes from inspection and will contact contractors for bids.

The minutes from the last board meeting were approved as presented.

The financial statement for April was reviewed and approved. 


Old Business:
The board bids for landscaping maintenance.  Kleanrite had proposed to blow all of the community once a month and spot blow/clean as needed during the month.  This would add about $600 per month to his contract each month on average, some months will be higher and some months lower.  This is still lower than the competitive bids that were received.  Bids ranged from $4875 to $4990 per month.  The board thinks that the HOA deserves better landscapers but right now it is not fiscally responsible to add that much more to the landscape budget.  The board will re-visit this issue in 12 months.

The last of the architectural guidelines will be reviewed next month.

The bathroom doors have been replaced.  New hardware still needs to be added to them.

The tennis court net has been replaced and the lights have been painted.

There is a new sign on the pool gate.  Pool users are still not putting chairs back or putting down umbrellas.  Steve to get another sign for the inside of the gate to serve as a reminder.

New Business:
The board discussed the issue of dog waste as some residents are not cleaning up after their pets.  Steve to get area north of the 6270 mailboxes cleaned up as it is a mess.  This topic will be discussed further in June.

Clubhouse cleaning has been tabled until the June meeting.

May 2013 HOA Meeting

The next HOA meeting will be held on Thursday May 30th (due to holiday), 2013 at 6pm at the clubhouse. Residents are invited to attend.

1.    Suzanne Muusers called the meeting to order at 6:05pm
2.    A quorum of homeowners was established -  by those present at the meeting and absentee ballots.
3.    Last Years' HOA Meeting Minutes were reviewed and approved.
4.    The treasurer's report was reviewed.
5.    The President's Report was read – see below
6.    Meeting was turned over to owner's discussion. Among items discussed were landscaping, reserves, solar pool heater, concrete driveways.
7.    The vote on board members was completed. Suzanne M. and Lance D. were reelected.
8.    Board members will choose the board officers at the next scheduled meeting.
9.    The meeting was adjourned at 7pm.

 2012 and 2013 Year to Date Accomplishments
•    Landscaping: the entire property is now landscaped.
•    Reserves: we now have 3 $20,000 CD's
•    Solar Pool Heater SRP Rebate: we received a rebate from SRP.

•    Continue to increase reserves as per the Reserve Study of July 2006

March 25, 2013


The board meeting was called to order at 6:08 PM.  Board members attending: Suzanne Muusers, Lance Donatello, and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Scott Sowl of Kleanrite Landscaping.

Scott explained what damages may have incurred due to frost damage to plants.  We may lose some yellow bell trees and some shrubs.  A few ficus trees may need to be removed as well.  He will monitor for the next few weeks and let us know what should be dune.

The minutes from the last board meeting were approved as presented.

The financial statement for February was reviewed and approved.  


Old Business:
The board reviewed the special assessment collections for 2012.  All but one owner has paid.

The last of the architectural guidelines will be reviewed next month.

Suzanne will get wording of pool sign to Steve so he can get price of getting sign made.


New Business:
The annual meeting is scheduled for April 22 at 6 PM at the pool.

The May meeting will be moved to Thursday May 30 as May 23 is a holiday.

The bid by New Look Restorations for the replacement of the bathroom doors was approved. 

Steve to have the pool company turn up the solar heat as high as possible to warm up the pool.  Temperature can be turned down once night time temperatures increase.

The board approved moving $20,000 into a 12 month CD.

The board discussed repairs to the driveways.  They agreed that only the worst can be done now and that it will take a special assessment to pay for these repairs.  The cost is about $5 - $6 per square foot for removal and replacement.

Suzanne has been working on the blog site and will post new architectural request forms and clubhouse usage forms on the site.

Lance will e-mail Suzanne the final piece of the architectural guidelines.

Steve to meet with a contractor to look at the worst of the driveways.  The attorney was consulted and determined that the driveways would be considered a common element for which the association is responsible to maintain.  He suggested a special assessment to cover costs of repairs or replacements.

The board asked Steve to get prices for new umbrellas that are stronger than those at the pool now.

The board approved a request from #287 to convert her carport to a garage as long as she follows the guidelines in the community blog site.

Steve to get bids for new tennis court net and painting the light poles and fixtures.

Landscapers to pick citrus towards the end of March.

January 2013 Meeting Minutes

January 29, 2013


The board meeting was called to order at 6:08 PM.  Board members attending: Suzanne Muusers, John Frigo, Lance Donatello  and Brian Weimer. Also attending: Steve Cheff of Heywood Realty and Scott of Kleanrite Landscaping.

Time was given to Scott to discuss landscape items.

The minutes from the last board meeting were approved as presented.

The financial statement for December was reviewed and approved.

The board reviewed the special assessment collections for 2012.  All but one owner has paid.

The last of the architectural guidelines will be reviewed next month.


New Business:
SRP came out and made final reading on the solar system output for the past 12 months.  The reading was much better than the previous 12 months so the association will be getting most of the projected rebate that was suggested when the system was installed.  Steve to follow up with SRP on the rebate.

The annual meeting is scheduled for April 22 at 6 PM.  Steve to send postcard soliciting positive owners to join the board.

Architectural Standards - Patio Covers




1)    Patio covers must be constructed using rough sawn Douglas Fir and be open to the elements using wood slats or wood lattice designs. No pipe, PVC, or material other than wood will be allowed.
2)    Fiberglass covers of any color or shape are specifically prohibited.
3)    Corrugated metal covers are specifically prohibited.
4)    Canvas covers are specifically prohibited.
5)    One side of the patio cover must be free standing. Do not attach patio cover to adjacent unit.
6)    The outside dimension is not to exceed any exterior walls.
7)    Construction must be complete within 45 days or fees will be imposed.
8)    Patio covers must be painted to match the trim of the home. It is the responsibility of the homeowner to obtain the proper color codes and to paint the new structure within 45 days.
9)    It is the responsibility of the homeowner to obtain all required permits and utilize only properly licensed contractors.
10)    All proposed patio covers must be approved by the Association. An architectural request form must be submitted proper to any work commencing.
