November 2015 Board Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
November 23, 2015


The board meeting was called to order at 6:08 PM.  Board members attending: Suzanne Muusers, Brian Weimer, Lance Donatello, and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Scott Sowl of Kleanrite Landscaping.

Time was given to Scott to discuss some of the landscape issues..

The minutes from the last board meeting were approved.

The financial statement for October was reviewed and approved.  Steve to produce a special assessment collection report so the board can determine more easily who is or is not paying the assessment.

Old Business:
The board reviewed the bids for removal of the dead pine tree by the 6350 mailboxes.  The board approved the bid by Turf and Trees for this removal and stump grinding.

The board discussed the driveway project.  The contractor with the low bid has not been returning phone calls or emails.  Steve to contact the next lowest bidder, New Look Restorations, to have him update his bid with current pricing.

The gate to the canal and the chain link fence by the solar water heater have yet to be done.  The contractor is running behind due to the rains we have had.  He should get these completed in the next few weeks.

New Business:
The board reviewed the proposed budget for 2016.  Steve to revise the budget with increases in painting and grounds maintenance.  The contribution to the reserves to remain the same.

There will be no meeting in December.

Steve to have a/c units serviced.

Violations:
The Board discussed delinquencies and violations.  Management to take approved measures to correct problems.

October 2015 Board Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
October 20, 2015


The board meeting was called to order at 6:12 PM.  Board members attending: Suzanne Muusers, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty.

The minutes from the last board meeting were approved.

The financial statement for September was reviewed and approved.

Old Business:
Steve to ask Excel Pools to patch the coping on the pool deck where it has chipped off.

The board authorized to start on the driveways when the contractor can get it scheduled..

New Business:
The board discussed the seal coating of the asphalt.  Plan on starting in April 2016.  Management to get bids for the February meeting.

The board approved to get a new gate installed to the canal.  They approved option 2 of the proposal submitted by New Look Restorations.  The gate is to be painted to match the trim color of the buildings.  It should be keyed the same as the pool key.

The board discussed the 2016 budget.  They would like the budget to reflect an increase in the monthly dues of 3%, with the new amount being $167 per unit per month.  Also the budget should have $2,000 - $3,000 for painting so touch ups can be done where needed.

There will be no meeting in December.

September 2015 Board Meeting Minutes

September 28, 2015


The board meeting was called to order at 6:00 PM.  Board members attending: Suzanne Muusers, Brian Weimer, Lance Donatello and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Allison McGowan.

Time was given to Scott of Kleanrite Landscaping to discuss issues regarding the landscaping of the community.

The minutes from the last board meeting were approved.

The financial statement for July was reviewed and approved.  The board would like to know what the expenditure of $1,648 was for.  Also the board would like a chart of special assessment collections for the next meeting.

Old Business:
The board asked about when the chain link fence would be installed by the solar water heater.

The board authorized to start on the driveways when the contractor can get it scheduled..

New Business:
The board discussed the seal coating of the asphalt.  Plan on starting in April 2016.  Management to get bids for the February meeting.

The board approved to get a new fence installed to protect the solar water heater equipment.

The gate to the canal is not locking.  The board would like some bids on a heavy duty gate that is very secure and looks nice.

The Board discussed delinquencies and violations.  Management to take approved measures to correct problems.

June 2015 Board Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
June 22, 2015


The board meeting was called to order at 6:20 PM.  Board members attending: Suzanne Muusers, Brian Weimer, Lance Donatello and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Allison McGowan. 

Time was given to Scott of Kleanrite Landscaping to discuss issues regarding the landscaping of the community.

The minutes from the last board meeting were approved. 

The financial statement for May was reviewed and approved.  The board voted to move $8,000 from checking to a money market account so reserve funds remain segregated from budget funds in the checking account.

Old Business:
The board reviewed the bid for pre-emergent spraying and approved the bid as presented..

Steve to get bids for removal of the cottonwood tree on the north end of the community as recommended by the city.

The board will spend time at the next meeting reviewing the RDA report.  Steve to resend the report to all board members.

New Business:
The special assessment for the concrete driveway repairs was passed.  Steve to send letter to owners stating that the $200 special assessment will be due by October 31, 2015.  Any funds received after that date will be considered late and subject to a $15 penalty each month until funds are paid in full.  The concrete project is projected to begin in September so the asphalt seal coat project can begin in October once the concrete work has been completed.

The board approved to get a new fence installed to protect the solar water heater equipment.  

The board voted to skip the meeting scheduled for July.  The next meeting will be on September 28, 2015 at 6 PM at the clubhouse.  .

June 2015 HOA Meeting

April 2015 Annual Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
April 27, 2015

Annual board meeting was called to order at 6:08 PM. Board members attending: Melissa Heise, Lance Donatello, Suzanne Muusers, and John Frigo.   Also attending: Steve Cheff of Heywood Realty

The minutes of the 2014 Annual Meeting were reviewed and approved as presented.
The treasurer’s report was reviewed with the owners in attendance.

President’s Report 2015
 2014 and 2015 Year to Date Accomplishments
Landscaping and tree maintenance – we have 200 trees on the property
Pool – new cleaning crew and pool cleaner
Spa repairs – the spa was resurfaced and repaired
Reserve study – the reserve study has been updated – It states that we need to allocate $2700 per month to reserves. We are currently allocating $1500.
Reserves: we now have 4 $20,000 CD's and $56K in checking – as a comparison- in April 2011 we had a total of $47K in the checking account and no CD’s.

Goals for 2015/2016/2017
2015 Landscaping and Tree Maintenance. We will continue to maintain, repair, and upgrade our landscaping.
2015 - Irrigation controllers – replace/repair
2015/2016/2017 – Shared Concrete Driveways are in poor shape in most of the community. Over the next 5 years we will be repairing them. We will start with the 6 driveways that are in the poorest condition.
2015 Asphalt. Seal and repair streets later this year. These funds will come out of reserves – i.e., our checking account.
2015/2016 - Clubhouse Maintenance.  After the most serious concrete driveways are repaired, we will address the clubhouse with maintenance.
2016 – Tennis court resurface

Topics for discussion
Percentage of rentals in the community
Landscaping – allow flowers to bloom. Unless shrubs are blocking sidewalks, allow them to grow.
Parking violations – too many cars being stored or parked by the mailboxes. Residents parking in guest parking.
Street names
Pet waste

The financial statements and minutes for December were reviewed and approved.
Scott S. discussed plants with frost bite and plans for filling in and moving forward with general landscaping.
John F.  motioned to move $7354.19 from annual  increase in cash from 2014 into a money market Lance D. seconded; all in favor.
