September 2014 Board Meeting Minutes


SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING

September 22, 2014

The board meeting was called to order at 6:07 PM. Board members attending: Suzanne Muusers, Melissa Heise, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty.



The financial statement for July and August were reviewed and approved. 



Old Business:
A. Landscape items; a pine tree that toppled over during last large storm will be replaced with another pine tree
B. Steve Cheff to follow up on Reserve Analysis
C. Waiting for bids on concrete repair in quads

New Business:
A. John motioned and Melissa seconded an architectural request for a homeowner’s new door.


Violations:
The Board discussed delinquencies and violations. Management also discussed what needs to take place so the approved measures to correct problems.

July 2014 Board Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
July 28, 2014


The board meeting was called to order at 6:06 PM. Board members attending: Suzanne Muusers, Melissa Heise, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Scott Sowl Kleanrite Landscaping.

The financial statement for June was reviewed and approved.

Old Business:
Pool Restroom Repairs; new exhaust fan has been purchased and will be installed
Steve will follow up on Reserve Analysis  
Raising the pool fence tabled for time being

New Business:
Brian motioned, and John seconded to have a pine tree damaged by the monsoon weather to be cut down for safety precautions. The board received bids and agreed to hire Sonrisa for the removal of the damaged pine tree as well as the removal of a palm tree that was voted on in June. In the fall a suitable shade tree will be planted in lieu.
John motioned, Brian seconded to change pool cleaning companies
Melissa motioned, Brian seconded to add “white” colored window panes in addition to the preapproved beige

June 2014 Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
June 23, 2014


The board meeting was called to order at 6:07 PM.  Board members attending: Suzanne Muusers, Melissa Heise, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty.

The financial statement for May was reviewed and approved.

Old Business:
Steve will obtain a sign for tennis court addressing “no pets allowed”
Landscaping costs look high; associated are the annual tree trimming costs
Steve will follow up on Reserve Analysis
$650 bid for removing a palm tree
Obtaining unit numbers still in process

New Business:
Pool Restroom Repairs; new exhaust fan being installed
Waiting for bids on concrete repair in quads
Steve will pursue additional bids for raising pool fence

May 2014 Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
May 21, 2014


The board meeting was called to order at 6:10 PM.  Board members attending: Suzanne Muusers, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty.

The minutes from the last two board meetings were not available.

The financial statement for April was reviewed and approved.

Old Business:
The board reviewed the bid for the palm tree removal at 298 and decided to table it until the next meeting.

Steve to get bids to raise the pool fence so it is off of the ground but not too high per code restrictions.

Steve to have concrete curbs put back in place and new solid curbing at some locations, possibly in conjunction with driveway work.

New Business:
Steve to get a sign for gate at the tennis court to state that NO PETS ALLOWED IN TENNIS COURT AREA.

Steve to let Kleanrite know that the tree by the clubhouse needs to be replaced in the fall.

Brian to find #s for units.  He will report on this at the next meeting.

April 2014 Board Meeting Minutes

SCOTTSDALE COLONY
HOMEOWNERS ASSOCIATION MEETING
April 28, 2014


The board meeting was called to order at 6:52 PM immediately following the annual membership meeting..  Board members attending: Suzanne Muusers, Melissa Heise, Lance Donatello, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty.

The minutes from the last board meeting were not available.  Steve to e-mail them to Suzanne.

The financial statement for March was reviewed and approved.

Old Business:
Coral Pools is still lacking a few items to complete the spa renovations.  The spa light is not working and needs to be replaced..

Steve to get bids to raise the pool fence so it is off of the ground but not too high per code restrictions.

Steve to have concrete curbs put back in place and new solid curbing at some locations, possibly in conjunction with driveway work.

New Business:
The board voted to amend the rules for the tennis court to state that NO PETS ALLOWED IN TENNIS COURT AREA.

The board approved the proposal from GNPS for picking up dog waste.  Steve to send them a map and they are to mark on the map where the worst areas are located and how much pooh was cleaned up.  See if they will send pictures of any bad areas.

The board voted to get bids to close off the area where the solar panels are located.  Once the fence is put up then the landscapers to convert the area to desert landscaping.  Gate on one end of enclosure only.

The board will look at bids for new numbers for units.

March 2014 Meeting Minutes

SCOTTSDALE COLONY

March 24, 2014


The board meeting was called to order at 6:05 PM.  Board members attending: Suzanne Muusers, Melissa Heise, Lance Donatello, Brian Weimer, and John Frigo.   Also attending: Steve Cheff of Heywood Realty and Scott Sowl of Kleanrite Landscaping.

The minutes from the last board meeting were approved as presented.

The financial statement for February was reviewed and approved.

Time was given to Scott to discuss landscaping issues.

Old Business:
Coral Pools should be starting spa renovations next week..

Steve to get a bid to remove the palm tree at 298.

The board approved getting the RDA report updated.  Steve to ask them to put in an update every 7 years as part of the capital expenses.  

New Business:
The board looked at seal coat bids and decided to wait on this until 2015 as that is when it is projected to be completed in the RDA report.

The annual meeting will be in April.

Steve to contact Matt Wirth about dog pooh clean up.

Steve to get bid to lift the pool fence and paint it.

The bid from Sonrisa Tree Service was approved.

April 2014 Annual Meeting Minutes

THE COLONY AT SCOTTSDALE
HOMEOWNERS ASSOCIATION MEETING
ANNUAL MEETING APRIL 28, 2014

The board meeting was called to order at 6:03 P.M. Board members attending were: Suzanne Muusers, Lance Donatello, Brian Weimer, Melissa Heise and John Frigo. Also attending:  Steve Cheff of Heywood Realty.   It was determined that a quorum was present or represented via absentee ballot.

The minutes of the 2013 Annual Meeting were reviewed and approved as presented.

The treasurer’s report was reviewed with the owners in attendance.

Suzanne presented the President’s Report:

2013 and 2014 Year to Date Accomplishments
  • Spa: a great deal of work has been done to the spa due to multiple leaks and issues.  The spa was due for maintenance next year according to the reserve analysis.
  •     Reserves: we now have 3 CDs of $20,000
  •     New Pool Bathroom Doors

Goals for 2014/2015/2016
  • 2014 - Update Reserve Study of 2006 to see where we are - Continue to increase reserves.
  • 2014 - Tree Maintenance
  • 2014/2015 - Concrete Driveways.  The condition of the concrete driveways in front of each of the four pod homes (22 in all) will need to be repaired due to settlement of the earth below.  The cracks in the concrete will worsen over time and could be a hazard.  We will be repairing concrete driveways in the next 5 years.  We will start with the driveways that are in the poorest condition.
  • 2015 - Irrigation Controllers - replace/repair.
  • 2015 - Streets.  Seal and repair streets
  • 2015 - Clubhouse Maintenance.  The Reserve Study cites 2015 as the year in which clubhouse maintenance should be done.  The clubhouse is dated and will need: appliances, counter tops, cabinets, flooring, windows, and doors, among other things.  The clubhouse door leading to the pool area will be brought up to code
  • 2016 - Tennis court resurface.

Owner discussion included topics: driveways, clubhouse renovations, heat the pool, solar power, street repairs and another survey.

Elected to the board of directors: Melissa Heise.
